Payment & Billing Workflow
How we handle subscriptions, payments, and billing

Subscription Plans

Lunterion CRM offers four subscription tiers: Free (€0), Growth (€29/month or €290/year), Business (€79/month or €790/year), and Enterprise (custom pricing). Yearly subscriptions receive approximately 17% discount compared to monthly billing.

Payment Method Requirement

All paid plans require a valid payment method on file, even if you have sufficient credits to cover the cost. This is required for identity verification, fraud prevention, and to ensure uninterrupted service when credits are depleted.

Automatic Recurring Billing

Subscriptions automatically renew at the end of each billing period (monthly or yearly). Stripe handles all recurring billing automatically. You will receive an invoice 3 days before each billing date. Available credits are automatically applied to reduce your invoice amount.

Credit Application Process

When an invoice is generated, the system automatically applies available credits (referral and promotional) to reduce the amount charged. Credits are applied in order of expiration date (oldest first). If credits fully cover the invoice, you will receive a €0 invoice showing the credit discount applied.

Invoice Generation

All transactions generate a Stripe invoice, even when fully paid with credits. Invoices show the original amount, credit discounts applied, and final amount charged. This ensures complete transparency and proper audit trails for accounting purposes.

Add-Ons

Add-ons can be purchased alongside your base plan. Add-on charges are included in your recurring subscription invoice and follow the same billing cycle as your main plan. Credits can be applied to add-on charges.

Payment Failures

If a payment fails, your subscription status will be marked as "past_due". Stripe will automatically retry the payment. If payment continues to fail, your account may be suspended until payment is resolved.

Referral Program
Earn €50 for each successful referral

How It Works

Share your unique referral link with friends and colleagues. When someone signs up using your link and meets the qualification criteria, both you and your referral receive €50 in credits.

Qualification Requirements

For a referral to qualify, the new user must: (1) Sign up using your referral link, (2) Confirm their email address, and (3) Add at least one lead OR invite at least one team member to their organization. Once these conditions are met, credits are automatically awarded to both parties.

Credit Amount

Each successful referral earns €50 in credits for both the referrer and the referred user. Credits are applied automatically and can be used towards any paid plan or add-on.

Credit Cap

Organizations can accumulate a maximum of €300 in total credits (from all sources: referrals and promotions combined). Once you reach this cap, you must use some credits before earning more through referrals.

Credit Expiration

Referral credits expire 3 months (90 days) from the date of issue. Expired credits are automatically removed and cannot be recovered. A cron job runs daily to expire old credits.

Eligibility

All active Lunterion CRM users with a valid account can participate in the referral program. Referred users must be new to Lunterion CRM and cannot have an existing account.

Fraud Prevention

Lunterion CRM reserves the right to investigate and take action against fraudulent referral activity, including creating fake accounts, self-referrals, or manipulating the system. Violators may have credits revoked and accounts suspended.

Non-Transferable

Referral credits cannot be transferred to another account, exchanged for cash, or refunded. Credits can only be used within the Lunterion CRM platform.

Promotional Credits & Codes
Special offers and promotional campaigns

Promotional Codes

Lunterion CRM occasionally offers promotional codes that provide credits towards your subscription. Promotional codes can be applied during signup or in your billing settings.

Code Limitations

Each promotional code has a maximum usage limit and expiration date. Codes can only be used once per organization. The system prevents duplicate usage of the same code.

Credit Application

Promotional credits are applied immediately upon code redemption and are active right away (not pending like referral credits). They follow the same €300 total credit cap and are applied to invoices automatically.

Expiration

Promotional credits have expiration dates set by the specific campaign. Expired promotional credits are automatically removed and cannot be recovered.

Combining Credits

Promotional credits can be combined with referral credits, but the total cannot exceed €300. When applying credits to invoices, the system uses credits in order of expiration date (oldest first).

How credits are tracked and applied

Credit Balance

Your total available credits are displayed in the Billing & Payments section. This includes both referral and promotional credits, minus any credits that have been used or expired.

Automatic Application

Credits are automatically applied to invoices 3 days before your billing date via Stripe's invoice.upcoming webhook. You don't need to manually apply credits - the system handles this automatically for every billing cycle.

Credit Priority

When multiple credits are available, they are applied in order of expiration date (oldest first). This ensures you use credits before they expire.

Partial Credit Usage

If your invoice is less than your available credits, only the necessary amount is deducted. Remaining credits stay in your account for future use. The system tracks partial usage of individual credit entries.

Credit History

All credit transactions are tracked in the database, including when credits were earned, used, and expired. You can view your credit history and usage details in your billing dashboard.

Invoice Transparency

Every invoice shows a detailed breakdown of charges, including base plan cost, add-ons, credit discounts applied (separated by referral and promotional), and final amount charged. This ensures complete transparency.

Subscription Management
Upgrades, downgrades, and cancellations

Plan Upgrades

You can upgrade your plan at any time. When upgrading, you'll be charged a prorated amount for the remainder of your current billing period. Credits can be applied to upgrade charges.

Plan Downgrades

Downgrades take effect at the end of your current billing period. You'll continue to have access to your current plan features until the period ends. No refunds are provided for unused time.

Cancellations

You can cancel your subscription at any time. Cancellations take effect at the end of the current billing period. You'll retain access to paid features until the period ends. Unused credits are forfeited upon cancellation.

Billing Cycle Changes

You can switch between monthly and yearly billing. When switching to yearly, you'll receive the yearly discount. Changes are prorated based on your current billing period.

Security & Compliance
How we protect your payment information

Payment Processing

All payments are processed securely through Stripe, a PCI-DSS Level 1 certified payment processor. Lunterion CRM never stores your credit card information directly.

Data Protection

Your billing information is encrypted and stored securely. We follow industry best practices for data protection and comply with GDPR and other relevant data protection regulations.

Webhook Security

All Stripe webhooks are verified using signature validation to ensure they originate from Stripe. This prevents unauthorized manipulation of billing events.

Program Modifications

Right to Modify

Lunterion CRM reserves the right to modify, suspend, or terminate the referral program, promotional campaigns, or pricing at any time. We will provide reasonable notice of material changes.

Existing Credits

Changes to programs do not affect credits already earned. Existing credits will remain valid until used or expired according to their original terms.
